Pickup Reminders
Pickup reminders are the workflow that keeps confirmed bookings from quietly falling apart between the reservation and the lot. A renter who booked Wednesday for Saturday has had three days to forget the time, lose the address, or leave home without their license. Each of those turns a confirmed rental into a delayed, stalled, or no-show pickup. The reminder sequence closes every one of those gaps automatically.
The cadence
Three timed messages carry the renter from booking to keys, each one doing a specific job:
- At booking — an immediate confirmation with dates, pickup location, deposit amount held, and “bring your driver’s license.”
- 24 hours before pickup — a reminder confirming the time and location, with a map link to the correct lot.
- 2 hours before pickup — a final nudge with the address, a map link, and a reply option if anything has changed.
What the renter sees
The renter gets short, useful messages — not marketing. Each one answers the three questions a renter actually has before a pickup: when, where, and what do I need to bring. The 24-hour and 2-hour reminders include a tappable map link to the exact lot, which matters most for multi-location operators where “the airport one” and “the downtown one” are genuinely different places.
Confirm-or-release built in
The 2-hour reminder doubles as a last confirmation point. If a renter has gone completely silent across the sequence, a confirm-or-release branch asks them to confirm they are still coming. A renter who confirms is set; one who does not respond gets flagged, so you learn about a likely no-show with enough time to re-rent the vehicle for that slot rather than discovering an empty reservation at pickup time.
Tuned to the booking type
The reminders adapt to the rental. An airport pickup keys its timing off the renter’s flight rather than a clock time, so a late flight shifts the reminders instead of marking the renter late. A luxury pickup carries the concierge details — agent name, valet or delivery instructions. The sequence reads the booking’s tags and sends the right version.
Why automating this matters
Manually reminding every renter is the kind of task that gets done when the desk is quiet and skipped when it is busy — which is exactly backwards, because the busy weekends are when reminders matter most. Automating the sequence means every renter gets the same complete prep regardless of how slammed the lot is, and your no-show and stalled-pickup rate stops tracking how hectic the week was.
